Turn broad preferences into specific dates and time windows that a staffing conversation can use.
Choose a useful planning window
Start with the next two to four weeks if that is a period you can describe reliably. Mark existing work, appointments and other commitments first. A shorter accurate calendar is more useful than a distant schedule filled with guesses. Extend the window when you can make dependable plans.
Use dates and full time windows
For each possible work period, specify the date and earliest start and latest end time. Include the next calendar date for an overnight window. “Evenings this week” leaves too much room for interpretation. Exact windows let you discuss a potential assignment without implying availability outside those limits. Availability format example: Monday, September 28, 7 p.m. to Tuesday, September 29, 7 a.m. Replace these dates and times with your own; this is not an offered shift.
Separate available from preferred
Distinguish times you can work from times you would most like to work. You may prefer one location or shift while being willing to discuss another. Say which is which. This prevents a preference from being mistaken for a firm restriction or a possible option from becoming a commitment.
Account for the whole journey
Consider travel to the exact facility, parking, arrival instructions and the time needed between other commitments. County names are a starting point, not a complete travel plan. Ask about the actual address and arrival requirements before deciding that a shift fits your available window.
Send changes specifically
When plans change, identify the dates or windows that changed and when the update takes effect. Use the communication channel agreed with the staffing contact. Avoid sending several conflicting versions without explaining which replaces the earlier one; label the newest availability clearly so it can be understood.

For general interest, provide a concise availability summary without private family, medical or other unnecessary personal details.
