Prepare Operational Handoffs for Temporary Healthcare Staff

Keep operational handoffs clear while using the facility's approved channels for clinical information.

Identify the receiving person

At the start of an assignment, establish who is receiving the professional and who directs questions about the work. At shift end, identify the appropriate handoff contact. A name on an old instruction sheet may no longer be current, so verify the role and communication route for this assignment.

Explain the facility process

Tell the professional how the facility expects handoffs to occur and where relevant information belongs. The sequence, tools and documentation expectations should come from current facility instructions. This article organizes preparation questions; it does not define a clinical handoff protocol or replace training for the assigned work.

Separate staffing and care communication

Scheduling contacts need dates, role, location and assignment status. Clinical information belongs in the facility's approved systems and communication channels. Do not paste patient or resident details into an agency staffing request, public form or informal personal message while trying to explain a coverage concern.

Make open operational issues visible

If access, equipment location or reporting instructions remain unclear, identify who will resolve the question. State the issue and next action without including sensitive clinical content in a general staffing record. An unanswered logistical question should not disappear simply because one person's shift or office hours have ended.

Confirm receipt of important changes

Use the facility's established process to communicate changes in assignment location, reporting contact or schedule. Make clear which earlier instruction is replaced. Do not assume that sending a message means it reached the person responsible for acting on it; confirm the next step through the appropriate operational channel.

Review the process after the assignment

Ask whether the receiving and departing teams knew whom to contact and where instructions were available. Correct outdated logistical information in the facility's own materials.
