Plan Temporary Coverage Around Training or System Changes

Connect training dates and operational changes with the specific coverage and orientation questions they create.
Map the change on the calendar
List the training sessions, transition dates or other confirmed events that may affect normal staffing arrangements. Distinguish a proposed schedule from an approved one. Identify the affected site and unit so the planning team can discuss actual time windows rather than assuming every part of the facility changes at once.
Identify the roles affected
Ask which roles may need temporary coverage while staff attend training or adjust to a change. Specify headcount and the exact periods under consideration. Do not assume a new system changes every role's requirements in the same way; have the relevant facility lead confirm the assignment expectations.
Plan orientation alongside coverage
Consider what a temporary professional would need to understand about the facility's current process on the assignment date. Identify who will provide orientation and access assistance. A temporary staffing request does not itself provide system-implementation services, and experience elsewhere does not replace local instructions during a transition.
Clarify the version in use
If instructions or workflows are changing, establish which version applies during each assignment and where the current guidance is available. Assign a contact for conflicting information. Avoid leaving a professional to choose between old and new instructions based on whichever document happens to be easiest to find.
Prepare the request and approver
Send the role, location, dates, exact times, headcount and relevant assignment requirements to the staffing contact. Name the facility person who can approve the request and answer questions about the transition. Label unresolved items so the request does not imply that access or orientation has already been arranged.
Revisit changes before arrival
Review the plan when training dates move or the transition schedule changes. Update affected requests through the agreed process and confirm the latest assignment details.
